Scheduling shifts across more than 400 stores: from a spreadsheet to Decision Intelligence software
Efficiency, operational continuity and centralised know-how: HR planning as a strategic lever in grocery retail.
The challenge
Selex Gruppo Commerciale is Italy’s leading modern organised distribution group. With 18 member companies, more than 3,330 stores and turnover exceeding €21 billion, managing its workforce was an extremely complex challenge.
Before Optit stepped in, the company relied on Office Automation tools and manual methods to organise shifts, which limited efficiency and scalability.
To stay competitive, Selex Gruppo Commerciale needed a thorough digital transformation on a national scale, moving beyond the inefficiencies of its old processes to plan its in-store workforce more intelligently.
How we create value
Through a ten-year partnership with five member companies (Dimar, L’Abbondanza, Superemme, Unicomm and Italbrix), Optit designed an advanced digital system for weekly staff shift scheduling. We turned the company’s extensive know-how into a user-friendly, integrated and scalable interface, replacing the old manual tools.
The solution is built on three key decision areas:
- Workforce requirement calculation, estimated dynamically from daily revenue forecasts for each department.
- Shift scheduling, optimised by cross-referencing regulatory constraints, individual availability and actual operational needs.
- Performance monitoring, supported by a set of advanced reports for detailed comparison between forecasts and actuals.
Over time, we’ve scaled up the system with modules for holiday planning, team sizing, and direct integration with HR systems for clocking data and leave requests (holidays and permits).
Impact
Today, Optit’s decision intelligence drives workforce planning across more than 400 stores. The key results of our support:
- Centralised know-how: contractual constraints, availability and shift logic, once scattered across people and spreadsheets, are now systematised and accessible.
- HR planning as a strategic lever: shift complexity is no longer an operational constraint but a tool for efficiency and service continuity.
- Structured data for the business: the system feeds the company’s data warehouses with clean operational data, ready for analysis.
